ERP for an international carrier — trips, fuel, multi-currency
The challenge
A carrier with a fleet of 10 trucks runs international routes. The books lived in notebooks and Excel: round trips, currencies issued to drivers, fuel across several gas-station networks’ cards, salaries under three different schemes. Off-the-shelf TMS products didn’t fit the processes — they needed a system built around the business, with genuinely complex money and fuel calculation logic.
What was built
A dedicated instance of our Fleet platform was deployed on the client’s domain, and a heavy accounting layer was built on top: a finance core, a fuel warehouse, multi-currency cash desks and GPS analytics. Every money module went through the path "spec with formulas and worked examples → implementation → tests".
Round trips with legs and multi-point routes
end-to-end numbering, statuses that lock calculated trips, document flow and payment terms (calendar/banking days) per order.
Multi-currency driver cash desks (UAH/€/$/lei/lira)
the rate is fixed at issue time, weighted-average desk rate, currency exchange, and on-the-road expenses via the driver portal with office confirmation.
Fuel warehouse: gas-station networks as accounts, each truck’s tank tracked in liters and money at a weighted-average price, burned fuel written off per trip without double counting.
Fuel-station statement imports (WOG/OKKO/UPG)
XLSX/CSV from the networks’ portals, transaction deduplication, and a self-learning "fuel card → truck" mapping.
Wialon GPS integration: daily fleet mileage, tank levels from sensors ("diesel in tanks" shown as a company asset), trip facts
plan-vs-actual km and fuel with overburn highlighting.
Salaries under three schemes + fleet profitability: a monthly P&L per truck that reconciles with the finance report to the cent
the invariant is pinned by an automated test.
Mileage-based maintenance for trucks and trailers, a document registry with reminders, and mid-trip tractor swap that preserves the full financial history.
Invoice and act PDFs matching the client’s own templates 1:1, VAT per trip mode, and requisites/signers at three settings levels.
A driver portal designed for 65+ year old drivers
simple screens, per-currency balances, trip documents from the office straight to the phone.
Edit locks against colleagues overwriting each other, global Ctrl+K search, personal Telegram notifications; PII encrypted at the database level.
The result
The system runs on the client’s domain and handles all operational and financial accounting of the fleet. The owner sees each truck’s profitability and "money right now" — including diesel in the tanks per GPS sensors — on one screen; drivers submit expenses from their phones. Over 900 automated tests keep the money logic safe from regressions.
